Sproutly is committed to protecting the privacy of your ECE center staff, children, and families. We operate in strict accordance with the New Zealand Privacy Act 2020 and the Health Information Privacy Code where applicable.

2. Data We Collect & Host

To deliver our operational management services, we host personal data uploaded by center administrators:

• Staff Information: Name, contact details, IRD numbers, bank account numbers, credentials, and police vet records.
• Student Profiles: Name, age, room assignment, emergency contacts, medical records, and attendance histories.
• Attendance logs: Daily classroom check-ins, check-outs, and staff ratio calculations.

3. Data Security & Storage

All data processed by Sproutly is securely hosted in encrypted cloud databases, with isolation policies ensuring centers can never access each other's records. User authentication is powered by secure access protocols, guaranteeing enterprise-grade access protection. All communication is encrypted in transit using SSL/TLS protocols.

4. Disclosure of Information

We do not sell, rent, or trade your personal data to third parties. We will only disclose information if required to do so by New Zealand regulatory bodies (such as the Ministry of Education for licensing audits or the Inland Revenue Department for payday filings) in accordance with law, or as explicitly authorized by you.

5. Data Access & Correction

Under the New Zealand Privacy Act 2020, individuals have the right to request access to and correction of any personal info held about them. Staff members or parent/guardian representatives can access, edit, or remove records through the center administrator.
